Law Library Administrative Director

The administrative director is an integral member of the Law Library's senior management team whose advising and consulting duties encompass a broad range of critical financial, operational, and human resources responsibilities affecting Law Library staff, Law School students, faculty and staff, University community members, and public Law Library patrons. The position advises and participates in strategic planning, develops and implements human resources policies related to the operation and management of the Law Library, and has primary responsibility for financial forecasting, budget preparation, and management of financial resources. The position recommends, plans, and manages facilities initiatives and operations. The administrative director represents the Law Library on University and school-wide committees and management groups. The Administrative Director reports to the Law Library Director.

The Law Library serves a diverse and varied group of internal and external constituencies, and the Administrative Director must work effectively with these constituencies.

Appointment
This is a twelve-month, 100%-time, academic professional and administrative position with an annually renewable appointment.

Job Responsibilities
Finance Strategic Planning and Management (32%)
  • Provide strategic financial leadership and direction including budgeting, planning and analysis, reporting, forecasting, policy compliance, and supervision of the Law Libraryâ™s financial operations. 
  • Develop, implement, and maintain sound financial policies, procedures, and practices. 
  • Define, analyze, measure, interpret, and present key institutional data and information for senior management as part of strategic and executive level decision-making.
  • Maintain the financial workflow, ensuring efficient and effective transactional processes that comply with University policies and procedures.
  • Represent the Law Library as cluster director and collaborate with Law School and University staff on work groups and committees.
  • Conduct financial planning and management to achieve Law Library and Law School priorities and ensure successful financial performance
  • Support the Law Library by providing leadership and guidance on financial policies, practices, and procedures to senior management, supervisors, and staff.
  • Ensure consistency and clarity in the interpretation and administration of policies in accordance with University policy and in consultation with Law School and University finance personnel.
  • Provide supervision and direction to the Finance and Administrative Specialist.

Human Resources Strategic Planning and Management (32%)

  • Advise and partner with Law Library senior management to develop and implement short- and long-term human resource goals and plans.
  • Provide program management for hiring, performance reviews, and the continuous appointment process.
  • Support the Law Library by providing leadership and guidance on human resource matters, policies, practices, and procedures.
  • Consult with Law School and University personnel to ensure consistency and clarity in the interpretation and administration of human resource policies in accordance with University policy.
  • Ensure compliance with federal, state, and local laws and regulations.

Operations Strategic Planning and Management (32%)

  • Oversee Law Library facility including all aspects of planning, maintenance, and usage assessment.
  • Coordinate procurement of computers, office machines, furnishings, and equipment.
  • Serve as Department Access Coordinator, requesting facility access and ensuring compliance with University policies and procedures.
  • Serve as primary liaison with Facilities Management , Department of Energy Management, Department of Public Safety, and UMPD, including in cases of emergency.
  • Meet regularly with Law School personnel and Facilities Management Department to review facility needs and operational challenges.
  • Lead all Law Library facility-related projects, including communicating with all involved parties (e.g., Facilities Management, University Construction, Office of Information and Technology, outside vendors/contractors), writing requests for proposals, reviewing bids and selecting vendors, and ensuring timely and satisfactory completion of projects.

Additional Responsibilities (4%)

  • Participate in a wide range of Law Library, Law School, and University committees, including the Alma fiscal year close group with University Libraries, Law School  associate deans and directors group and safety committee; and University financial systems user network, cluster directors, and facilities management operations group.
  • Prepare Law Library submission for reports required by the American Bar Association, the Association of Research Libraries survey, and reports for other entities.

Required Qualifications

  • BA/BS from an accredited institution plus at least six years of relevant experience. 
  • Experience with project management, report writing, budget planning and spreadsheets, financial accounts management, and human resources. 
  • Demonstrated ability to communicate effectively orally and in writing to internal and external audiences. 
  • Demonstrated ability to work collaboratively.
  • Demonstrated high degree of sound independent judgment and ability to exercise discretionary authority within assigned responsibilities.
  • Demonstrated ability to lead and address challenges while managing complex projects. 
  • Experience with Microsoft Office and Google apps.

Preferred Qualifications

  • MBA from an accredited institution.
  • Experience using PeopleSoft and the University of Minnesota's Integrated Library System (ALMA).  
  • Previous experience working in higher education, legal education, and/or complex library environments.
