This position provides high-level executive leadership administrative support to Perioperative Services Directors, including the management of daily and project activities in support of the Perioperative Services Administration. This involves Divisional projects activities, process, data tracking and facilitation of the various projects through communication with stakeholders while maintaining a high level of professionalism. Incumbent will interact with the Perioperative Executive Committee members, UCDH Senior Leadership, faculty, Surgical Chairs, surgeons, internal staff as well as external clients. Exceptional customer service is required. Initiative, discretion and strong independent judgement working with highly sensitive and/or confidential matters is essential to this role.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelors degree in Business Administration or related field preferred
  • (1) One-year administrative support required
  • Demonstrated strong experience using calendar and meeting software
  • Advanced skill using personal computing software including the latest Windows 7, MS Office 2010 (Word, Excel, PowerPoint, etc.), Adobe Acrobat, and others to prepare professional and effective communications, visuals, data, charts, and other mediums for presentations. Familiarity with researching and initiative finding solutions to technical issues as they arise.
  • Proven excellent experience scheduling, coordinating, and managing multiple and complex electronic calendars, meetings, projects, and events with skill to reason and discern priorities when determining action in a timely and efficient manner. Proven strong political acumen and ability to successfully operate within a diverse, complex organization. Proven clear verbal and written communication skills including strong interpersonal and customer service focus interacting with all levels of internal and external customers. Proven ability to apply high ethical standards to operational practices and decision making in order to ensure University policies and procedures are thoroughly communicated to provide context to leadership in the decision-making process. Excellent organization and ability to prioritize assignments; knowledge of priority setting strategies. Ability to multi-task and complete projects according to a given timeframe. Must possess competent decision-making and problem-solving skills, adeptness at initiating actions for effective resolution and follow-through. Experience with project/program management including, but not limited to, programmatic development, analysis, implementation and reporting Excellent attention to detail and organizational skills in all areas of performance. Strong writing skills and experience writing, editing documents to respond on behalf of the Executive accurately using proper grammar, style, and format. Demonstrated experience and skill using various presentation programs to illustrate data, charts, processes appropriate for various target audiences. Advanced experience with scheduling/video software and programs


Preferred Qualifications

  • Six (6) months high level executive support experience preferred.
  • Work experience in a fast paced, clinical setting preferred.
  • Experience with project management software programs.
  • Experience updating, maintaining websites.

Department Overview


Perioperative Services is a large Division comprised of 10 complex departments at various locations. The Pavilion, the Children's Surgery Center and University Tower include Operating Rooms, Procedure Rooms and Pre & Post-op Anesthesia areas. The Endoscopy Suite consists of hospital-based GI Laboratory and Interventional Pulmonary procedure rooms. Sterile Processing, Same Day Surgery Center, GI/Endoscopy Lab, Interventional Pulmonary OR, and the Pre-Anesthesia Clinic (PAC). The new 48X Ambulatory Facility includes Operating Rooms, Procedure Rooms, and Sterile Processing.
